Client mappings are established the first time an account is imported into Office. This is how the system is able to direct transactional data to the correct account during an import. To view the client account mappings go to Tools, Edit Definition Master, Import, and click on Client/Account Mapping.
Client Account Mapping is essential for the import to be able to recognize existing accounts. If you do not move imported accounts properly, then the Client Account Mapping could get deleted. This would cause an account to come in as a New Account, when it would actually be an existing account. For instructions on how to properly move imported accounts, review the moving accounts topic.
Note: You do not want to make changes to the Client Account Mapping during the import process. Morningstar only reads the Definition Master when you first import. If you move accounts and change the account mid-import, Morningstar will not be able to find the original account and the transactions will not post.
The columns from the Client/Account Mapping grid are described below.
Client Account Mapping Import Process
Below is the process the Morningstar Office Import goes through to determine whether an imported account is existing or new. The import will look within the Definition Master under the client/account mapping while going through this process.
The import looks at the Import Interface field for only the Custodian that is being imported.
The import looks at the Custodian Account ID field for an account number match.
The import looks at the Account Import Setting to decide whether the account comes in as an existing account or as an excluded account.
The import looks at the Mapped Client Name and Mapped Account Name to determine which account to reconcile against and post the transactions.
Note: If there is not a Custodian Account ID match for the Import Interface being imported, the account will import as a new account.
Fidelity Client/Account Mapping
Morningstar Office has two Fidelity Interfaces. Fidelity Advisor Channel is the old interface and Fidelity Wealth Central/Fidelity Streetscape Hybrid is the new interface. Both interfaces read the same Fidelity format of files (Standard Format B), however, the Fidelity Advisor Channel interface is no longer updated and could lead to false reconciliation errors if used.
No major changes have to be made to your accounts to switch from Fidelity Advisor Channel to Fidelity Wealth Central/Fidelity Streetscape Hybrid. Morningstar added a double mapping for the Fidelity Advisor Channel interface so users could seamlessly move to Fidelity Wealth Central/Fidelity Streetscape Hybrid without having to re-map all of the accounts.
To switch to the Fidelity Wealth Central/Fidelity Streetscape Hybrid interface use the instructions below:
Open Morningstar Office. From the top menu bar, click Import. The Import area opens in separate window.
If the Fidelity Wealth Central/Fidelity Streetscape Hybrid interface is not available, refer to the Edit Import Interfaces topic.
Once the interface is present on the import page, check the box next to Fidelity Wealth Central/Fidelity Streetscape Hybrid and then click Import from the top menu.
Click the magnifying glass icon next to the File Name box to locate and select the folder on your computer where you have saved all the exported files.
Enter the Start and End dates as you would for the old Fidelity interface making sure there are no data gaps or overflows.
Click Import. Note: You will get a warning message asking you to initialize. Select No. This process has already been done for your accounts on the old interface.
Pay attention to the New Accounts blotter during the first import. There may have been Fidelity Wealth Central/Fidelity Streetscape mappings that got deleted due to incorrect house holding, causing the mapping to get deleted. Any account showing as a new account that is not a legitimate new account needs to be mapped to the existing account in the New Accounts blotter. To do this, select the appropriate Mapped Client Name and then Mapped Account Name.
Reconciliation should look normal.
Click Post and continue importing from the Fidelity Wealth Central/Fidelity Streetscape Hybrid interface moving forward.
